Essential Functions Maintains and updates computer system to track
court dates and provide court related reports to DCFS and private
agency workers identifies patterns of consistent missed court dates
and other problems among caseworkers and/or supervisors and
provides reports of same for submission to the Administrator of
Court Services provides information related to justification of
missed court dates and explanation of other problems recommends
enhancements for modifications improvements etc. to system as
required. Generates letters to responsible worker/supervisor to
obtain justification for missed court dates and to explain other
problems monitors to ensure response is received from
worker/supervisor and documents response through tracking system.
In the absence of the receptionist answers incoming calls and
screens callers to determine nature of request interviews caller to
gather needed information to assess situation transfers all calls
to appropriate persons announces callers and takes accurate
messages greets visitors and directs walk-ins to appropriate
offices and resources provides information and assistance in person
and by phone to representatives of other agencies clients the
general public and others copies or assists with copying service
plans or casework court materials for caseworkers and staff.
Receives and distributes to court personnel reports prepared by
professional staff and monitors to ensure court documents including
petitions motions orders and subpoenas are received by appropriate
staff. Communicates court orders and decisions to caseworkers
advises caseworker regarding what the court will expect at the next
hearing or progress report monitors to ensure receipt and
comprehension of messages. Assists when problems arise in court by
locating worker/supervisor making necessary phone calls to obtain
information utilizing DCFS computer systems to clarify case
information updating necessary information and relaying messages to
legal staff and DCFS administrators as directed handles crisis
situations that arise in court due to worker absence or lack of
critical case information that must be provided to the court
immediately identifies problems and recommends remedial action
serves as a go-between for court and workers/attorneys. As directed
performs timekeeping functions for the Office of Legal Services.
Performs other duties as required or assigned which are reasonably
within the scope of the duties enumerated above. Minimum
Qualifications Requires knowledge skill and mental development
equivalent to two years of secretarial/business college and one
year of office experience or completion of high school and three
years of office experience or three years of independent business
