We ensure our clients' immediate and ongoing success by providing them with strategic guidance and essential products for peak performance.Why join us?HealthVisionDental401kPTOJob DetailsThee Customer Service Administrative Assistant will report to the Customer Service Manager and serves as a vital support team member for the Customer Service Department. The Customer Service Administrative Assistant supports department personnel by performing a wide variety of duties working directly with the Customer Service Team to ensure timely completion of the entire order process and projects.Responsibilities:---Provide excellent level of service and strong attention to detail to ensure accurate data entry while striving for consistent, positive experiences for both internal and external customers.---Efficiently utilize SAP system to expedite vendor PO's, request invoices and check for accuracy and completeness.---Utilize available systems (SAP, HubSpot, AutoQuotes) daily to create and maintain accounts, contacts, order progression, shipping details and availability issues that may arise.---Respond to problems with urgency, collaborating with Customer Service Leader, Customer service associates and/or Purchasing, Sales associates and other necessary associates to determine optimal problem resolution for the customer, supplier and our client.---Proactive communication to customers and/ or vendors via email, phone or chat with order updates, quote updates, purchase orders, pricing and carrier tracking information.---Works with accounts payable, accounts receivables and would be responsible for auditing and reviewing all orders and billing them in an accurate and timely manner. Would be responsible to maintain and create invoices for customers.---Collects, compiles records data and prepares for standard reports including but not limited to Supply America, Compass etc.---Assist with the creation of Chain order guides for E-Commerce as well as expediting E-Commerce / Custom Deco orders and returns---Develop and maintain excellent working relationships with all internal departments and suppliers---Identify and inform appropriate departments and suppliers of any changes, developments or problems related to both service and product.---Participate in cross-functional teams to ensure the continuous, on-going improvement of processes, methods, productivity, and quality, while reducing overall costs.---Acquire knowledge and attend training on products and services offered by our suppliers to provide customers with options for their program needs.Qualifications:Associates Degree preferred or 2+ years of customer service/ administrative assistant experienceProficiency in Word, Excel and Microsoft OutlookSAP experience is a plus
